Party Bus Side Business: Website and Booking Setup

An illustrative scenario for an owner running a party bus part-time: hourly minimums, promo codes, a clear cancellation policy, driver assignment and a site that books while the owner is at the day job.

EazyLimo cover: Party Bus Side Business: Website and Booking Setup

This is an illustrative scenario, not a client story. It describes how someone running a party bus as a side business could set up EazyLimo, using features the product offers.

The situation

The owner has a full-time job and runs one party bus on evenings and weekends. Bookings are for birthdays, bachelor and bachelorette parties, concerts, homecoming and group nights out. The owner sometimes drives, and on other nights a hired driver takes the bus.

Most inquiries arrive during working hours, when the owner cannot answer. By the time the owner replies in the evening, many groups have booked elsewhere. Pricing questions are constant, and last-minute cancellations on a Saturday night cost real money because the bus sits idle.

What the website needs to do

  • Take bookings and payment while the owner is at work.
  • Price by the hour, with a minimum so short bookings are worth running.
  • Make the cancellation terms clear before anyone books.
  • Offer discounts to fill quieter nights.
  • Let the owner hand a booking to a driver without a phone call.

More ideas on filling the calendar are in our post on how to get more limo bookings.

How the booking and pricing setup would look

The site

A bold theme preset with the owner's logo and colors fits the party audience. The vehicle page shows interior and exterior photos. A services page covers birthdays, bachelor and bachelorette parties, concerts and school events, and a FAQ answers the usual questions about capacity rules, drinks policy and pickup points in the owner's own words. Reviews on the site build trust with groups who have never heard of the business.

Booking types and pricing

Hourly is the main booking type, with a set hourly rate and a minimum number of hours. Up to three stops covers a pickup, a dinner and a venue. Weekend and holiday surcharges apply on the busiest nights, and a night surcharge can cover very late finishes. For trips beyond a distance the owner sets, booking becomes quote-only. Gratuity and tax are added at checkout.

EazyLimo books the whole vehicle. It does not sell individual seats, which suits private group hire.

Promo codes

Promo codes give the owner a simple lever for slower periods. A weeknight code can go out on social media, and a separate code can be shared with a local venue or event organizer. The owner decides the discount and when a code stops working.

Cancellation policy

The site includes cancellation policy, terms and privacy pages. The owner writes a clear policy, for example how much notice is needed and what happens to payment on late cancellations, so groups know the rules before paying. Our limo cancellation policy template is a good starting point.

Checkout

Groups pay by card through the owner's own Stripe account or with PayPal. The organizer gets a confirmation email and a private booking link, and the owner gets a new-booking alert on their phone during the workday.

A week in operation

On Tuesday during lunch, the owner sees two new-booking alerts: a Friday birthday and a Saturday concert trip. Both were priced and paid online without a single call.

On Wednesday evening, the owner opens the dispatch board for the weekend. The owner will drive Friday. Saturday goes to the hired driver, so the owner assigns the booking in the back office and the driver receives a status text link for the trip.

Thursday is quiet, so the owner posts a weeknight promo code for the following week. On Sunday afternoon, the owner logs a cleaning and inspection in the maintenance log, checks reports for the month, and exports a CSV for tax records.

After each trip, the printable QR card near the door points happy groups to the /review link.

FAQ

Quick answers

Can I sell individual seats on the party bus?
No. EazyLimo books the whole vehicle. It does not include shuttle-style seat booking.
Can I run a discount for a slow month?
Yes. Promo codes let you offer discounts you control, for example for weeknight bookings or a local event.
Where does my cancellation policy go?
Every EazyLimo site includes a cancellation policy page alongside terms and privacy pages, so customers can read it before they book.
Can a hired driver see their assigned trips?
